What personal data we collect and why we collect it

When you buy a product on this site, we ask for the name, company name(optional), address, e-mail, country and VAT number (if in EU).
Furthermore, we record which subscription you bought, the date and time and when it expires. This information is saved in the database on the webserver. This information is also kept in our paper accounts, excluding the subscription expire time.
We don't handle credit card information ourselves and keep no records of such type of information as all transactions are handled by PayPal (you don't need to be a PayPal member, though, see Payment process). All PayPal transactions, are subject to the PayPal Privacy Policy.

Every time you visit our website, your full IP (Internet Protocol) address is registered on our server to eventually act upon criminal activity and to cooperate with law enforcement if necessary. The full IP address of a regular visitor is not held longer in our database than 24 hours.

How we use personal information

Apart from using it for our accountancy, we send from time to time a message to the e-mail address you provided when there is an important update related to your subscription. As this is part of the subscription, it is not possible to opt-out unless you wish to terminate the subscription (see also "What if I want you to erase all my information?" further below). The reason is that the video -and audio industry constantly changes, therefore we think it is important to update you if this may affect your project/business.
We don’t send messages unrelated to your subscription. We do send 1 friendly reminder just before you subscription expires as a reminder that you can renew it with a significant discount. After that, you won't receive any communication from us.

We do not share your information with third parties, but we will hand over information to a governmental body when there is a legal requirement.

Contact forms

Any information you send via our contact forms is encrypted and received on our e-mail client application which is only accessible to the data controller. We do not save messages in the database on the server.

How long do we retain your data

We keep your information in our database maximum 365 days after the expiring date of your subscription to give you the opportunity to renew your subscription with a significant discount.
After this period of grace, your account is closed and you will be treated as a new customer when you re-apply for a subscription. You may keep using the software regardless whether you have an active account or not.
We are legally obliged to keep the paper accounts during 10 years after which it is destroyed.

In case of support messages, for your security we keep those messages maximum one week after a case is solved. We make sure unauthorized persons have no access to these e-mails.

We make regular backups of the site, which means there are backups of your personal data as well. Backups are kept maximum 3 months and we defined strict rules how to handle and protect these backups from unauthorized access.

How we protect your data

This site uses TLS encryption (Formerly known as SSL) for security reasons and for the protection of the transmission of confidential content, such as the inquiries you send to us as the site operator. You can recognize an encrypted connection in your browser's address line when it changes from "http://" to "https://" and the lock icon is displayed in your browser's address bar.
If TLS encryption is activated, then the data you transfer to us cannot be read by third parties.

Our hosting provider is chosen for its high level of security measures and its insistence on safe practices on their servers, like using private keyfiles for SSH access and IP address restriction.
Apart from the server firewalls, we also have a firewall and antivirus on website level which blocks illegal intrusions. 
That said, nothing is 100% secure on the Internet, therefore we cannot guarantee total safety at all times.

What data breach procedures we have in place

When there is a data breach that involves leaking personal information, you are informed maximum 24 hours after discovery. However, one particular data breach goes undetected, like when you have chosen a weak password for your user account. You can help us avoid that data breach by making sure that your user password is strong and not easy to find. 
Note: Allowing others to access and use your account and password can compromise the security of your information. Footprint Add-ons disclaims any responsibility or obligation for your decision to provide your password to others. Please alert us immediately if you believe your password has been misused. Additionally, always log out and close your browser when you finish your session. Please note, we will never ask you to disclose your password.

What if I want to review my information or make changes?

Log into your account by clicking the link My account at the top right of the page. Select My Profile/Subscriptions and log in. There you can review what we have on file on you and make changes if needed. This won't influence the paper trail, though. Legally, the information you gave at the time you bought the subscription cannot be changed. 
If you have problems logging in, use the Lost Password routine. If you forgot your username, please contact us. We respond usually within 24 hours, except during weekends or official holidays in Belgium.

Regarding personal information in backups:  As reviewing personal data from backups is disproportionate, we will ensure that backups with personal information are only used for restoration purposes, during which point your personal data will be removed. Backups are kept maximum 3 months and we defined strict rules how to handle and protect these backups from unauthorized access.

What if I want you to erase all my information?

In accordance with GDPR rules, you have the right to be forgotten. This does not include any data we are obliged to keep for administrative, legal, or security purposes. Contact us and we generally act upon your request within 48 hours (except on weekend and official holidays). We will ask you to confirm this specifically as a double opt-out to make sure nobody else tries to impersonate you. However, if you have an active subscription, this will "de facto" be terminated upon deletion of your details and you won't be able to renew the subscription at a discount rate. 
That said, you may keep using the software that came with the subscription.
If you decide to erase everything except your username, e-mail address, password and the subscription period and erase all the rest, then you can continue to use the subscription, until it expires.

What if I don't agree with this privacy policy?

If you think something is missing in the privacy policy, please let us know via the contact page. 

Cookies policy

No Cookie is set before you make a decision. At the sidebar on the right we display an option to accept or deny cookies. As long as you take no decision, no cookies are set, but you won't be able to log in or buy a subscription to our software. When you decide to accept cookies, the option changes and cookies are set from then on. It is possible to reverse this any time and prevent the setting of new cookies. Existing cookies are not removed until they expire or you remove them yourself.

What is a cookie?

A cookie is a small amount of data, often including a unique identifier, sent to the browser of your computer or mobile phone (referred to here as a "device") from a website's computer. It is stored on your device's hard drive. Each website can send its own cookie to your browser if your browser's preferences allow it. To protect your privacy, your browser only permits a website to access the cookies it has already sent to you, and not the cookies sent to you by other websites.

On the Footprint Add-ons website, our cookies record information about your online preferences so we can tailor the site to your interests. You can set your device’s preferences to accept all cookies, notify you when a cookie is issued, or not receive cookies at all. Selecting the last option means you will not receive certain personalised features, which may result in you being unable to take full advantage of all the website's features such as the membership area. How do we use cookies?

Information supplied by cookies can help us analyse the profile of our visitors, which helps us provide you with a better user experience. For example, if you logged into the membership area before, the site may remember you the next time. Or when you buy software, cookies are used to track the buying process which is necessary to create your user account.

  • Matomo Analytics - we use cookies to compile visitor statistics such as how many people have visited our website, what type of technology they are using (e.g. Mac or Windows which helps to identify when our site isn’t working as it should for particular technologies), how long they spend on the site, what page they look at etc. Comparable with Google Analytics but only saved on our server and we don't share collective information with any third parties.
    Recorded IP addresses are anonymized like this: 168.14.xx.xx which means that you are in no way identifiable via these traffic logs.
    Traffic logs are deleted each 180 days automatically.
  • Session cookie - this is a standard cookie just to remember user preferences (like remembering your login details for the membership area so that it saves you from the need to log in within a limited time frame.)
